Assistant deans are appointed by the dean of their respective academic school to provide administrative support for compliance, assessment and/or support to the dean. The following procedure provides guidance for calculation and administration of the corresponding administrative supplement provided to assistant deans for duties performed.
- Administrative Supplement Objectives
- Assistant deans will ensure academic schools fulfill academic compliance with all state and federal agencies and accrediting bodies.
- Assistant deans will assist school deans in guiding schools to achieve college-wide strategic objectives, through the following processes:
- Academic Program Review (APR)
- Programmatic accreditation
- Assessment (including action plan follow-up and monitoring report)
- Implementation of assessment plans
- Review curriculum consistent with the college strategic imperatives
- Supporting achievement of strategic imperatives around program sustainability and viability
- Assistant deans will be active leaders and support faculty through professional development activities that provide avenues to develop depth and breadth in academic leadership.
- Assistant deans will represent the college externally. Assistant dean representation may include local, state, and national functions.
- Administrative Supplement Calculation
The total administrative supplement value for assistant deans is calculated using a weighted value based on the following criteria:
- The number of department heads/academic program directors/clinical coordinators within the assistant dean’s school.
- The total number of academic programs offered within the school (School of Arts & Sciences [A&S] number of departments).
- The total number of degree programs within the school (A&S number of departments).
- The total number of certificate programs within the school (represented by the total number of unique courses for the A&S).
- The number of syllabi within the school (represented by the number of affiliation agreements managed in the School of Health Sciences).
- The number of accredited programs within the respective school.
- Recruitment for programs in the school.
- Off-campus duties to oversee operations related to external course offerings.
- Assistant dean administrative supplements are reviewed and calculated annually and reflect the Learning and Workforce Development (LWD) master payroll calendar. The dean of each academic school or designated representative will complete the assistant dean administrative supplement calculation spreadsheet annually and continue or modify the administrative supplement amount according to the calculated value.
- The Vice President of LWD will complete the final review and approval of the administrative supplement for each assistant dean.
- The justification statement for the administrative supplement must consider and include:
- Additional responsibilities related to the role of the assistant dean.
- Any details related to adjustments made for the scope of responsibilities, including support function, areas supervised, campuses served, and special assignments.
- Assistant deans receive a full release from teaching duties to prioritize assessment and administrative functions within their associated school.
- However, should an assistant dean request to teach, they will be compensated with an overload, and funding for their overload compensation will derive from their associated teaching area (e.g., an assistant dean who originally taught in mathematics will receive overload compensation from the mathematics budget unit).
- Approvals for assistant deans to teach overloads may be granted in the event extenuating circumstance(s). Such overloads are subject to the school dean’s discretion in accordance with State Board for Technical and Comprehensive Education (SBTCE) policy 8-2-103 and procedure 8-2-103.1
